Privacy Policy

This Privacy Policy explains how Fleetocity (“Fleetocity”, “we”, “us”) collects, uses, stores, and shares information when you use the Eagle View mobile application and the related web portal at app.fleetocity.co.in (together, the “Service”). Eagle View is a fleet-management product for organisations that monitor vehicles fitted with GPS tracking devices.
1. Who this policy applies to
This policy applies to people who sign in to Eagle View as authorised users of a customer organisation (for example a company, dealer, or retailer). It also describes how we handle data that GPS devices and related systems send about vehicles in that organisation’s fleet.
If you are a driver or other staff member whose work location is visible because a tracker is installed on a company vehicle, your employer (the customer organisation) decides how that tracking is used. We process that fleet data to provide the Service to the organisation that holds the account.
2. Information we collect
Account details: name, email address, username, phone number, password (stored in hashed form), role, organisation, and optional profile photo.
App and device details: push-notification token, app version, and operating system, so we can deliver alerts and keep the app working.
Phone location (optional): if you grant location permission, we may use your phone’s location to centre maps and show where you are relative to vehicles, geofences, and points of interest. Vehicle tracking does not require your phone’s GPS. You can refuse or later revoke this permission in your device settings and still use the rest of the app.
Vehicle and GPS telemetry: device identifiers (such as IMEI), timestamps, latitude and longitude, speed, heading, ignition and motion status, fuel or sensor readings where configured, remote-command status, and other data the installed tracker reports.
Documents and media: vehicle papers, photos, and files you or your organisation upload (for example registration, insurance, or profile images).
Support records: help requests, complaints, ticket messages, and related vehicle or visit details.
Operational logs: sign-in activity and records needed to run, secure, and audit the Service, including who issued remote commands such as immobilize or restore mobility.
3. How we use information
We use this information to operate Eagle View: authenticate users, show live and historical tracking, generate reports, send alerts and push notifications, handle support tickets, apply subscription and permission rules, and improve reliability and security.
We may use aggregated or de-identified information that does not identify you personally to understand product usage and to keep the Service stable.
We do not sell your personal information.
4. Vehicle tracking and workplace monitoring
Eagle View is designed to show where equipped vehicles are and how they are used. Location of a vehicle can indicate the location of a driver or occupant while they are with that vehicle.
The customer organisation is responsible for telling its drivers and staff about tracking, for using the Service lawfully, and for any employment, motor-vehicle, or workplace-privacy obligations that apply to it. Fleetocity provides the platform; it does not set a customer’s internal monitoring policy.
5. Legal bases (India)
We process personal data to provide the Service you and your organisation ask for, to fulfil a contract, to meet legal duties, and for legitimate operational needs such as security, fraud prevention, and support — consistent with the Digital Personal Data Protection Act, 2023 and other applicable Indian law.
Where the law requires consent (for example certain uses of your phone’s location or notifications), we rely on the permission you grant on the device or in the app.
6. Who we share information with
Authorised users in your organisation, and other parties your organisation’s account structure already includes (for example a dealer or administrator who manages your subscription), according to roles and permissions.
Infrastructure and product vendors that help us run the Service, including map and routing providers (Google Maps / related Google location services), push-notification services (Firebase Cloud Messaging), hosting, storage, and email delivery. They may process data only to provide those functions to us.
Professional advisers, or a buyer, if we reorganise or transfer the business, under appropriate confidentiality.
Public authorities when we are legally required to disclose information, or to protect people, property, or the Service from harm.
7. Retention
We keep account data for as long as the organisation’s account is active and for a reasonable period afterwards if needed for billing, disputes, security, or law.
Vehicle telemetry and reports are kept so the organisation can view history and exports. Retention may follow the organisation’s plan and our operational backups.
Support tickets and command logs are kept for handling the request and for audit. You may ask us to delete personal account data; we may retain what we must keep for legal or security reasons, and fleet records belonging to the organisation may remain under that organisation’s account.
8. Security
We use access controls, encrypted transport (HTTPS), hashed passwords, and role-based permissions. No method of transmission or storage is completely secure. Please keep your password confidential and sign out on shared devices.
9. Your choices and rights
You may access and update profile details in the app or portal, control phone location and notification permissions on your device, and contact us to correct inaccurate personal data or to request deletion of personal account data, subject to the limits above.
Under applicable Indian law you may also have rights to access, correction, erasure, and grievance redressal. Write to support@fleetocity.in. We will route privacy requests to the appropriate contact and respond within a reasonable period.
If your access exists only because an organisation invited you, some requests (for example removing you from the fleet account) must be handled by that organisation’s administrator.
10. Children
Eagle View is a business fleet tool. It is not directed at children, and we do not knowingly create accounts for anyone under 18 years of age.
11. Changes
We may update this policy. The “Last updated” date at the top will change, and the current version will be published in the app and at app.fleetocity.co.in/privacy. Continued use of the Service after an update means you accept the revised policy, except where the law requires a further consent.
